Commuter accommodation
Forsvarsbygg
Forsvarsbygg, responsible for around 7,000 accommodation units for military personnel, wanted to replace their manual key management system. With the units spread across more than 400 buildings at 40 locations throughout the country, they needed a centralised solution that could also handle local needs. The goal was to simplify operations and administration through standardisation, while also providing third-party personnel with efficient access for maintenance. The manual system required significant administrative time and increased the risk of key loss or theft. Forsvarsbygg therefore decided to transition to a fully automated digital key management system.
Safe digital keys
Less personell
More efficient managemet

«The solution is far more user-friendly as tenants are now self-sufficient, and the need for staffing at locations has been reduced.»
– Cecilie Jentoft, Manager accommodation, Forsvarsbygg
Challenges
The manual key management system led to unnecessary time spent on key logistics, with an average time of around 17 minutes per booking. This included administrative tasks, logistics and the replacement of lost keys. Forsvarsbygg wanted to reduce this time while also improving security related to key loss.
Goals for the system
- Automate guest access based on booking information.
- Ensure compatibility and seamless integration between existing systems.
- A unified solution for all locations.
- Efficient administration for housing managers.
- Effective oversight and notifications for operations personnel.
- Offer a secure and user-friendly solution for both short and long stays.
- Implement remote control of the lock system with flexible unlocking methods.
- Reduce costs associated with key management.
- Free up resources spent on key management for improved tenant and building management.
Solution
Forsvarsbygg chose to implement a digital key management system including software from Invite Guest Technology AS and digital locks and project management delivered by Intin AS, as well as installation carried out by Låssenteret AS. This solution automated access for tenants on both short and long-term leases, and significantly reduced the need for on-site staffing. The integration of Invite as a fleet management tool ensured compatibility with booking and lock systems, and streamlined operations.
Key components of the solution included
- Digital key system replacing physical keys for staff and guests.
- Invite as a fleet management tool integrated with booking and lock systems.
- Mobile app for cleaning and maintenance personnel, for easy administration.
- Optional access method at location level. Transition from PIN to APP at certain locations in spring 2024.
Results
By implementing the digital key management system, Forsvarsbygg achieved excellent results:
- Automated access control reduced the need for manual processes and enabled 24/7 opening hours compared to previously limited opening hours.
- Improved security with app-based or PIN-based door locking, eliminating the risk of key loss.
- Significant time savings in key management, access control and overall operational efficiency.
- Improved tenant satisfaction through user-friendly digital access.
- Cost reduction in key management and staffing requirements, contributing to overall budget optimisation.
Finally
Forsvarsbygg’s transition to a fully automated digital key management system has revolutionised their housing management operations. By leveraging innovative technology and seamless integration, they have effectively addressed key challenges while improving security, efficiency and tenant satisfaction.
“We have achieved a more secure solution through doors being unlocked using an app or PIN. The risk of keys going missing is gone. Not least, we spend far less time on key handling, access management and administration than before. We now have a smooth and streamlined process that ensures high efficiency and quality in our deliveries.” – Cecilie Jentoft, Head of Housing and Quarters, Forsvarsbygg
