The Student Welfare Organization in Volda is affiliated with Volda University College and offers both short- and long-term rentals of student housing.
The short-term rentals are primarily intended for students visiting for a few days at a time in connection with study gatherings and courses.
Short-term rentals have involved a fair amount of manual key administration, which the student welfare organization has wanted to streamline to provide students with a better visitor experience.
To simplify the management of keys and access, the organization has implemented Invite.
Close to being reception-free
Instead of students having to visit the student welfare organization’s reception during opening hours, they now receive a digital key and access to their dorm via their phone. With digital locks from Salto Systems, everything is automated, with no physical keys required. Prior to their stay, a message is sent with access information and a digital key to their phone—and the system works well.
“There was a short adjustment period, and now it works great! Tenants no longer have to spend time coming by the reception during opening hours to pick up a key.”
— Janne Gårdsvoll Vatne, Housing Manager at the Student Welfare Organization in Volda
More flexibility for students
Students have noticed that key delivery has become much more flexible and user-friendly—especially when arriving on weekends or evenings, outside of reception hours.
“We used to pick up the keys at the gas station and had to adhere to their opening hours. Now we get the key straight to our phone and can go directly to the dorm. It’s much more convenient.”
— Student Miriam Sunde Årseth
Saves time
The student welfare organization reports saving time at multiple levels. Students no longer need to visit the reception. There’s no waiting time, and staff time is saved during check-in and billing. Each visitor can now book and pay for their room in advance, rather than the organization handling everything manually. Everything is now automated through the welfare organization’s booking system, EasyNetBooking and Invite.
“We use much less time since each person books their room and pays at the time of booking, compared to before when we had to do all of this manually ourselves.”
— Janne Gårdsvoll Vatne, Housing Manager at the Student Welfare Organization in Volda
Embracing a digital future with access module and information
By implementing Invite, the student welfare organization joins the ranks of companies that understand the future is digital. Students now receive the information they need on their phones, and answers to the most common questions are easily accessible. By using Invite’s software, the system is also open for further development or integration with services the student welfare organization may need in the future.
